Grant Management

If funded, sign and return the award packet immediately. Make sure you have read and understand the special conditions you will be expected t respond to. Note any special conditions that are not immediate in your project plan.

Receiving grant money means that your agency is responsible for every penny that is spent and all work that is created. Documentation must be created and files need to be stored in the event that if the grantor or other funding entity requires information, it will be readily available.

Once the grant has been approved, schedule a kickoff meeting to allocate resources and determine responsibilities for each step of the project, especially for the final report. Budget, timeline, and paper trails must be reviewed or established. Research any tools that can be used to help smooth out the process, such as project management applications or existing timeline templates.

Establish a grant notebook for filing. Include the following tabs: Application, Budget Adjustments, Financial Reports, Invoices, Inventory, Financial Guidelines and Original Solicitation.

Initiate regular status meetings with staff responsible for the grant and the grant fiscal representative.
